Privacy Policy
1. Who we are
KingCRM ("KingCRM," "we," "us," or "our") is operated by King Research LLC [CONFIRM: operating entity must match your Stripe account and A2P brand registration], [Business mailing address — confirm]. This Privacy Policy explains how we collect, use, and share information when you visit kingcrm.io, use the KingCRM platform at app.kingcrm.io and our related mobile and desktop applications (together, the "Service"), or communicate with us.
By using the Service you agree to this Privacy Policy. If you do not agree, please do not use the Service.
2. Two kinds of information, two roles
We handle two categories of information differently:
- Customer and visitor information — information about the businesses and people who visit our website, create accounts, and pay for the Service. We decide how this information is used, as described in this Policy.
- Customer Content — contacts, leads, phone numbers, messages, call recordings, notes, documents, and other data that our customers upload to or generate inside their KingCRM accounts. Our customers control this data. We process it only to provide the Service, under our Terms of Service and the customer's instructions.
If you are a person whose information appears in a customer's account — for example, a property owner who was contacted by a business using KingCRM — that business is responsible for its use of your information. Please direct questions or requests about your information to that business. We will assist our customers in responding to such requests as appropriate.
3. Information we collect
- Account information: name, email address, phone number, company name, password, and profile details you provide when you register.
- Billing information: billing address and payment details. Payments are processed by Stripe, our payment processor. We do not store full payment card numbers on our systems.
- Usage and device information: log data such as IP address, browser and device type, operating system, pages viewed, features used, timestamps, and referral URLs, collected automatically through cookies and similar technologies.
- Communications: emails, texts, chat messages, and calls with our support and sales teams. Calls may be recorded for quality and training purposes where permitted by law and with any required notice.
- Customer Content: the data you and your team enter into or generate inside your account, described in Section 2.
- Information from others: we may receive information from referral partners, affiliates, educational programs through which you enrolled, and publicly available sources, and we may combine it with information we already hold.
4. How we use information
- Provide, operate, secure, and maintain the Service, including provisioning phone numbers, sending and receiving messages, and hosting your account.
- Process payments, manage subscriptions, and send invoices and receipts.
- Onboard, support, and train you and your team.
- Send service communications about your account, billing, security, feature changes, and policy updates.
- Send marketing communications about KingCRM products, features, and offers, subject to your right to opt out at any time.
- Analyze usage to improve the Service, develop new features, and personalize your experience.
- Detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms.
- Comply with legal obligations and enforce our agreements.
5. Text messaging and calls
If you provide your mobile number and opt in, we may send you account and service messages (such as security alerts, onboarding steps, and billing notices) and, with your consent, marketing messages about KingCRM. Message frequency varies. Message and data rates may apply. You can opt out of marketing texts at any time by replying STOP, and get help by replying HELP. Opting out of marketing texts does not stop essential service messages needed to operate your account.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support roles, such as customer service and message delivery, is permitted. All other categories of sharing described in this Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. How we share information
We do not sell your personal information. We share information only as follows:
- Service providers: companies that help us run the Service, including cloud hosting and platform infrastructure providers, payment processing (Stripe), telephony and messaging carriers, email delivery services, analytics, customer support tools, and AI processing providers. They may access information only to perform services for us and are bound by confidentiality obligations.
- Integrations you connect: if you connect third-party tools to your account (for example, a calendar, an ad platform, or a data provider), we share information with them as directed by you. Their use of your information is governed by their own policies.
- Business transfers: in connection with a merger, acquisition, financing, or sale of all or part of our business, information may be transferred to the successor, who will honor this Policy.
- Legal and safety: when we believe disclosure is required by law, subpoena, or legal process, or is necessary to protect the rights, property, or safety of KingCRM, our customers, or the public, including to enforce our Terms and investigate fraud or abuse.
- With your consent or at your direction.
7. Cookies and analytics
We use cookies, pixels, and similar technologies to keep you signed in, remember preferences, understand how the Service is used, and measure the effectiveness of our marketing. We may use tools such as Google Analytics, Google Ads, and Meta advertising tools [CONFIRM: list only the tags actually installed on kingcrm.io]. You can control cookies through your browser settings; disabling cookies may affect parts of the Service.
8. Data retention
We keep account information for as long as your account is active and for a reasonable period afterward to comply with legal, tax, and accounting obligations, resolve disputes, and enforce agreements. After your subscription ends, your Customer Content remains available for export for 30 days [CONFIRM: retention window], after which we may delete it from our active systems. Copies may persist in routine backups for a limited period before being overwritten. Call recordings are retained according to the settings and retention periods available in your account.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and for the activity of the users you add to your account.
10. Your choices and rights
- Access and update: you can review and update account information in your account settings or by contacting us.
- Marketing opt-out: use the unsubscribe link in any marketing email, reply STOP to marketing texts, or contact us. We will still send service communications necessary to operate your account.
- Cookies: manage through your browser as described in Section 7.
- Customer Content: you control the data inside your account and can export or delete it using the tools available in the Service, subject to our Terms.
California residents. Under the California Consumer Privacy Act, you have the right to know what personal information we collect, use, and share; to request deletion or correction; to opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising); and not to be discriminated against for exercising these rights. To exercise these rights, contact us using the details in Section 14. We will verify your request before responding and may ask for additional information to do so. You may designate an authorized agent to make a request on your behalf.
Residents of other states with comprehensive privacy laws may have similar rights and may exercise them the same way. If we deny your request, you may appeal by contacting us and referencing your original request.
11. Children
The Service is intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.
12. Third-party links and sites
The Service may link to websites, tools, and services we do not control. This Policy does not apply to those third parties, and we are not responsible for their privacy practices.
13. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will notify you by email or through the Service before the changes take effect. The "Effective" date at the top shows when this Policy was last revised. Continued use of the Service after the effective date means you accept the updated Policy.
